Moving from Trello to Dolibarr

Leave Trello for a real ERP. We support small businesses and freelancers who pushed Trello beyond its kanban role and need a unified system to manage customers, invoices and accounting.

Why leave Trello to manage your business?

Trello is an excellent visual task and project kanban tool. Some small businesses and freelancers however use it to track their customers, quotes and sometimes invoices. This usage works for a while, then quickly shows its limits.

Trello is not designed to manage customers and invoices

Trello is a kanban tool: it manages cards in lists. It is neither a CRM nor an invoicing software. Managing a customer relationship with full history, issuing a legal invoice, tracking payments: these are not its native functions.

No fiscal compliance

Invoices created from Trello (via templates or power-ups) are not compliant with French regulations: no guaranteed sequential numbering, no reliable audit trail, no protection against after-the-fact modification.

Information scattered across cards

Customer information, quotes, invoices and sales tracking end up scattered across different Trello cards with multiple attachments and comments to go through to find context. No unified customer view.

No real accounting

Trello offers no accounting feature. You have to keep accounting elsewhere (often in Excel or with the accountant) and make manual round-trips between Trello and accounting, which is tedious and error-prone.

Trello pricing that grows

Trello has a freemium model but advanced features (automations, integrations, business rules) require Standard, Premium or Enterprise subscription. If you push it beyond its role, you pay more and still hit limits.

What you gain by moving to Dolibarr

Dolibarr is not a direct replacement for Trello for kanban task management: the two tools serve different functions. The idea is to keep Trello for real kanban if needed, and use Dolibarr for actual business management.

A real CRM for your customers

Each customer has their record with full history: quotes, invoices, payments, sales actions, notes, attachments. You see their entire journey at a glance.

Legally compliant invoicing

Quotes and invoices numbered sequentially, with reliable audit trail, tamper-proof after validation, exportable to PDF with your branding. Factur-X and Chorus Pro available for e-invoicing.

Real integrated accounting

Automatic entries from invoices, French general chart of accounts, VAT, fiscal years, closings, FEC export for your accountant. No more round-trips between Trello and another accounting tool.

Projects module with possible kanban tracking

Dolibarr has a Projects module with progress tracking, planning and budget. For specific kanban needs, you can keep Trello in parallel and connect it to Dolibarr via API if relevant.

Reporting and dashboard

Revenue, margin, customer receivables, unpaid invoices, VAT to pay: all this information is automatically calculated by Dolibarr. No more manual totals in Trello.

How to move from Trello to Dolibarr

Migration from Trello is usually fast because data volume is modest and most useful information can be extracted manually or via the Trello API. Here is our approach.

  1. 1. Audit of your Trello boards

    3 to 5 days

We identify how you use Trello for your business management: customer boards, quote boards, invoice cards, sales tracking. We list the information to recover and what to abandon (project tasks that stay in Trello).

  2. 2. Dolibarr configuration

    3 to 5 days

Installation of a Dolibarr instance on Dolicraft hosting or on your side, configuration of necessary modules (contacts, quotes, invoices, basic accounting, CRM), and setup of document templates with your branding.

  3. 3. Trello data extraction

    1 to 2 weeks

Export of Trello boards via JSON or the Trello API, card analysis to extract customer, quote and invoice information. Manual or semi-automated transformation to the Dolibarr import format.

  4. 4. Training and launch

    1 to 2 days

Personalized training on your new way of working: creating a customer, issuing a quote, signing it, converting it to an invoice, tracking payment. We work on your real use cases.

  5. 5. Go-live and support

    Close support

Switch on a clean date. You can keep Trello for kanban task management if useful, and use Dolibarr as main management tool. Hotline during the first weeks.

Frequently asked questions

Not necessarily. Trello remains an excellent tool for kanban task and project management. You can keep it for that use and use Dolibarr for CRM, invoices and accounting. The two tools can coexist, each in their natural role.
For a small business or freelancer using Trello to manage a few dozen customers and invoices, the project is typically very fast (2 to 4 weeks) and reasonably priced. We provide a fixed-price quote after a free initial conversation.
Yes. The Trello API allows extracting all card attachments. We transfer them to the corresponding records in Dolibarr (customer, quote, invoice) so that context is preserved.
Butler automations are often tied to kanban logic (card moves, assignments). If you keep Trello for tasks, they continue to work. For management-side automations (invoice sending, reminders), Dolibarr offers native equivalents.
It is native. Once an invoice is validated in Dolibarr, it receives a sequential number, is timestamped, and becomes non-modifiable. A compliant PDF is generated with your branding. For e-invoicing, the Factur-X module generates the XML format embedded in the PDF.
Yes, via both tools' REST APIs. We can for example automatically create a Trello card when a project is launched in Dolibarr, or sync invoice status with a tracking card. These integrations are studied based on your needs.
Yes, it is even one of the most legitimate reasons. An accountant needs reliable, traceable and FEC-exportable data. Dolibarr provides all that natively, where Trello cannot. Your accountant will often be reassured by the change.
